BGA Automates Royalty Accounting for 200+ Outlet QSR Chain – Jumboking

THE CLIENT

JUMBOKING

Jumboking Foods Pvt. Ltd. operates one of India’s largest vegetarian QSR franchise chains, with 200+ outlets spread across major cities. The brand is known for its standardized food service model and rapid franchise expansion. All outlets capture customer orders through PetPooja, a widely-used POS platform for restaurant operations.

As the franchise network grew, the back-office processes for royalty calculation, invoicing, payment tracking, and accounting could no longer keep up with the scale. What worked at 50 outlets was breaking at 200+.

What Was Broken

Royalty calculations were being done manually by pulling sales data from PetPooja and computing amounts in spreadsheets. Invoices were created one by one. Payment tracking happened in Excel. Receivables were reconciled by hand. And there was no single dashboard where management could see which franchisees had paid, who was overdue, and what the overall collections picture looked like.

For a chain operating at this scale, every day of manual effort meant delays in collections, errors in calculations, and limited visibility into the financial health of the franchise network.

 

What BGA Delivered

BGA designed and built a custom Royalty Management Application on Zoho Creator, integrated with Zoho Books for accounting, and connected to PetPooja’s POS platform via API. The result is an end-to-end system that pulls live sales data, calculates royalties automatically, generates invoices, tracks payments, and keeps the books clean, with minimal manual intervention.

  • POS Integration (PetPooja API)

The system pulls order data directly from PetPooja’s platform via API. This eliminates the need for manual data exports, ensures accuracy, and keeps the royalty calculation grounded in real, verified sales numbers.

  • Franchise Master and Royalty Configuration

A centralized franchise master was built inside Zoho Creator, where each franchisee’s details and applicable royalty rates are maintained. When sales data flows in, the system automatically applies the correct rate and calculates the amount due at defined intervals.

  • Automated Invoicing

Once royalties are calculated, the application auto-generates invoices and pushes them to Zoho Books via API integration. Invoices are also emailed directly to the franchisee’s registered email. No manual invoice creation, no copy-paste errors, no delays.

  • Payment Tracking and Receivables Knock-off

When a franchisee makes a payment, the information is uploaded into the application and automatically pushed to Zoho Books to knock off the corresponding receivable. This keeps the books reconciled in near real-time without manual journal entries.

  • Business Accounting Setup

Zoho Books was configured from scratch for Jumboking’s business accounting needs. This included chart of accounts setup, branch and bank account configuration, opening balances, vendor and expense item uploads, and transaction data migration for the current financial year.

  • Dashboards and Reporting

Management now has a real-time view of franchisee-level receivables, payment status, overdue amounts, and overall collection trends. No more chasing spreadsheets or waiting for month-end reports.
